Paper Submission
For managing the submission and review process, ISPhOA uses the EasyChair conference management system.

Please make sure that your manuscript is written following the template given:
Seminar Proceedings (DOC (opens in a new tab), LaTeX (opens in a new tab), PDF Sample (opens in a new tab)). - Before submitting your manuscript, please make sure you already have an EasyChair account.
- If you do not have an account yet, please click the following link: Create an EasyChair account (opens in a new tab), and follow the workflow to create your account.

Having your EasyChair account, click the following link:
Log in to EasyChair for ISPhOA 2026 (opens in a new tab),
fill in the login data (email and password) you made when creating your account, and click Log in.
- After entering the ISPhOA 2026 submission page, fill in all required data (Title, Abstract, and Keywords) for your paper's contribution. Then choose your manuscript file and press Submit.
Peer Review Process
Workflow of the Reviewing Process
- Authors submit their full paper (4 pages up to a maximum of 6 pages, including references) through the EasyChair ISPhOA 2026 submission page. Before submission, authors should self-scan their manuscript for AI-generated content and plagiarism, and make sure it falls below a threshold of 20% on both.
- The ISPhOA 2026 Publication Chair will re-scan the manuscript against both requirements to confirm they are met.
- Authors whose submission does not meet both threshold requirements will be contacted to resubmit a revised manuscript.
- Manuscripts that pass the scans above are assigned directly to 2 different reviewers with expertise in the paper's topic. Review follows a double-blind process.

Submitted papers are reviewed against the paper's quality standards, based on the following aspects:
- a. Originality
- b. Novelty
- c. Soundness (covering methodological validity, reproducibility, technical soundness, and scientific rigour)
- d. Writing quality (correct English grammar, and the use of recent references)

Each aspect carries a set weight, and the review results are scored. Acceptance is decided by the total score given by the double-blind reviewers, against the quality threshold. Four outcomes are set:
- A. Accepted without revisions
- B. Accepted with MINOR revisions
- C. Accepted with MAJOR revisions
- D. Rejected

Authors will be notified of their outcome, with the following recommendations:
- A. Register for early bird, at the discounted registration fee. Authors are urged to format their accepted manuscript to strictly follow the template for publication in the SPIE Proceedings.
- B. Register for early bird, at the discounted registration fee, while making minor revisions based on the reviewers' comments. Authors are also urged to format their accepted manuscript to strictly follow the template for publication in the SPIE Proceedings.
- C. Authors are required to make MAJOR revisions based on the reviewers' comments, within the time frame given by the organizer, and resubmit their revised manuscript through their EasyChair account. A second round of blind review will be assigned to make sure the revised paper meets the quality standard. If the second round is positive, authors will be urged to register; otherwise they will be notified of the rejection.
SPIE Publication
Paper Publishing Process
- Only ACCEPTED and PRESENTED papers will be eligible for publication in the SPIE Proceedings.
- The organizer of ISPhOA 2026 has signed a mutual contract with SPIE to publish ACCEPTED and PRESENTED papers that pass the quality standards in the SPIE Proceedings.
- Authors who have presented their papers at the ISPhOA 2026 seminar will be notified to submit their camera-ready manuscripts through the SPIE Submission System. Access to the SPIE Submission System will be given after the seminar ends.
